1. Introduction

This guide is for caregivers who use the Visiting Systems app to check in and out of client visits, record notes, and track their schedule.

Visiting Systems is a web app — there is nothing to download. You access it through your phone's browser at visitingsystems.com. Your agency admin will give you your login credentials.

Tip: Add visitingsystems.com to your phone's home screen for quick access. In your browser, tap Share → Add to Home Screen (iPhone) or the menu → Add to Home Screen (Android).

2. Logging In

Open your browser and go to visitingsystems.com

Enter your email address and password
These were provided by your agency administrator.

Tap Log In
You will be taken directly to your visit schedule.
Forgotten password? Tap Reset Password on the login page and enter your email address. A reset link will be sent to your inbox. If you do not receive it, check your spam folder or contact your agency office.

3. The Home Screen

After logging in you will see your upcoming and recent visits grouped by date. Each visit card shows:

4. Checking In

Check in when you arrive at the client's location, before you begin providing care. There are two ways to check in.

Option A — Standard check-in

Find the visit on your home screen

Tap the visit to expand it

Tap Check In
The app will record your GPS location and the exact time.

The visit status changes to In Progress
Your check-in time is now saved.

Option B — QR code check-in

Your agency may provide a QR code for each client location. Scanning it at the client's address is a faster way to check in with automatic location verification.

Scan the client's QR code
Use your phone's camera app or a QR scanner. The code is usually posted at the client's home or provided by your coordinator.

Log in if prompted
If you are not already logged in, you will be taken to the login screen. After logging in you will be returned to the check-in screen automatically.

Tap Confirm Location
The app will use your GPS to verify you are within range of the client's address.

Check-in is confirmed
A green checkmark appears and the visit is marked In Progress.
Important: You must be at the client's address when you check in. The system records your GPS location as part of Electronic Visit Verification (EVV). Checking in from a different location will create an exception flag.
No GPS? Make sure your browser has permission to access your location. If you see a location prompt, tap Allow. If location verification fails, use standard check-in from the home screen and notify your office.

5. Checking Out

Check out immediately when you finish your shift and are about to leave the client's home.

Find the In Progress visit on your home screen

Tap Check Out

Add any visit notes if needed (see Section 8)

Provide your signature (see Section 6)

Tap Confirm Check-Out
The visit will move to Completed.
Important: Always check out before leaving. Visits that are not checked out appear as overdue in your agency's system and may affect your payroll.

6. Signature

Some visits require a client or caregiver signature at check-out to confirm services were delivered. If your agency requires this:

  1. A signature pad will appear during check-out.
  2. Hand your phone to the client (or sign yourself, depending on your agency's policy).
  3. Use a finger to draw the signature on the pad.
  4. Tap Accept to confirm.
Tip: If the signature is incorrect, tap Clear and try again before tapping Accept.

7. Declining a Shift

If you cannot make a scheduled visit, you should decline it as early as possible so your agency can arrange coverage.

Enter a reason
This is required so your agency understands why coverage is needed.

Tap Confirm
The visit will be flagged for your coordinator to reassign.
Note: Declining a visit does not remove it from the schedule — it flags it for your coordinator to follow up. Always also call your office to inform them directly.

8. Adding Visit Notes

You can add notes to a visit during check-out or after a visit is completed. Notes are visible to your agency coordinators.

Use notes to document:

Tip: Good visit notes protect both you and the client. When in doubt, document it.

9. Viewing Visit History

Scroll down on your home screen to see completed visits from the past 7 days. Each completed visit shows your actual check-in and check-out times.

For older visit history, contact your agency office.

10. Troubleshooting

ProblemWhat to do
Can't log inDouble-check your email spelling and password. Use Reset Password on the login page to get a new password sent to your email. Contact your office if the problem continues.
Check In button not appearingRefresh the page. Make sure you're logged in and the visit is showing as Upcoming.
Location permission errorGo to your phone's browser settings and allow location access for visitingsystems.com.
QR code check-in — location fails at correct addressGPS accuracy can vary indoors. Try stepping closer to the entrance and tap Confirm Location again. If it still fails, use standard check-in from the home screen and let your office know.
QR code opens a login screen but does not return to check-inLog in normally, then ask your coordinator to re-share the QR code link. Tap the link again after logging in.
Visit not showing on my screenPull to refresh or reload the page. If still missing, contact your office — the visit may not have been scheduled yet.
Page won't loadCheck your internet connection. Try switching between Wi-Fi and mobile data.
Accidentally checked in at the wrong locationContact your office immediately so they can note the exception.

11. Getting Help
