1. Introduction

Welcome to Visiting Systems, an Electronic Visit Verification (EVV) and home care management platform designed for home health agencies. This guide is for Subscriber Admins — agency owners, office managers, or coordinators who manage day-to-day operations from the admin dashboard.

As a Subscriber Admin you can create and manage clients and caregivers, schedule visits, monitor real-time compliance, export payroll, generate invoices, and review your agency subscription.

Tip: Caregivers access a separate mobile-friendly interface at the same URL. You do not need to send them to a different site.

2. Logging In

Navigate to visitingsystems.com and enter your email and password. The system will automatically direct you to the admin dashboard.

Forgotten password

Click Reset Password on the login page and enter your email address. A reset link will be sent to your inbox. If you do not receive the email within a few minutes, check your spam folder or contact support@visitingsystems.com.

Note: Visiting Systems uses secure session tokens that expire after inactivity. If you are redirected to the login page, simply log in again — your data is never lost.

3. Dashboard Overview

The dashboard opens on the Schedule tab, showing today's visits in a timeline view. The left sidebar provides access to all sections of the platform.

4. Managing Clients

Go to Clients in the sidebar. Each client record holds contact information, address, payer type, and geographic coordinates used for EVV location verification.

Adding a client

  1. Enter the client's name, address, and payer type (Medicaid, Private Pay, etc.).
  2. Click Add Client.

Editing a client

Click the client's name in the list to open their profile and update any fields.

Tip: The client's address is used to verify caregiver check-in location via GPS. Make sure the address is accurate.

5. Managing Caregivers

Go to Caregivers in the sidebar. Caregiver records include contact information, employee ID, timezone, and login credentials.

Adding a caregiver

  1. Enter the caregiver's name, email address, employee ID (optional), and timezone.
  2. Set a temporary password — share it with the caregiver and ask them to keep it safe.
  3. Click Add Caregiver.

Caregiver access

Once added, caregivers can log in at visitingsystems.com with their email and password. On mobile devices they are directed to the caregiver mobile interface; on desktop they see a simplified caregiver dashboard.

Tip: If a caregiver cannot log in, verify their email address is entered correctly and that their account has not been deactivated. See Section 13 for login troubleshooting.

6. Scheduling Visits

Visits can be scheduled from New Visit in the sidebar or directly from the Schedule tab.

Scheduling a visit

  1. Select the client.
  2. Select the caregiver.
  3. Set the scheduled start and end date/time.
  4. Click Schedule Visit.

The visit will appear immediately in the schedule and in the caregiver's mobile app.

Recurring visits

To schedule a recurring visit, set a recurrence rule (daily, weekly, etc.) and specify the number of occurrences before clicking Schedule Visits. Each occurrence is created as a separate visit record.

Editing or cancelling a visit

Open the visit from the Schedule or Week View and click Edit or Cancel Visit. Cancelled visits are removed from the caregiver's queue.

Note: Editing the scheduled time of an in-progress visit (one where the caregiver has already checked in) will not affect the actual check-in time recorded for EVV purposes.

7. Visit Monitoring & Exceptions

The Alerts tab surfaces visits that need attention in real time:

The Exceptions tab lists all flagged visits for formal review. Flags include location mismatches, late arrivals, and declined shifts. Each exception can be reviewed and resolved with a note.

8. Payroll Export

Go to Payroll in the sidebar. Select a date range and click Export CSV. The file includes:

Import the CSV into your payroll software (QuickBooks, ADP, Paychex, etc.).

Tip: Only visits with a completed check-out appear in the payroll export. Remind caregivers to check out at the end of every visit.

9. Invoicing & Billing

Go to Invoices to generate invoices for payers. Select a client, date range, and payer — the system will calculate billable hours from completed visits. Click Generate Invoice to create a record you can export or share.

The Billing tab shows your agency's subscription status and payment history with Visiting Systems.

10. Reports & Audit Log

The Completed tab shows all visits that have been checked out, searchable by date range, client, or caregiver.

The Audit Log (under Settings) records every administrative action taken in your account — who did what and when. This log is read-only and cannot be edited.

11. User Management

Go to Settings → Users to view all admin users in your account. Contact your system administrator to add or remove admin accounts or to reset admin passwords.

Tip: Each caregiver has their own login. Caregivers are managed from the Caregivers section, not from Settings → Users.

12. Subscription & Billing

Visiting Systems bills your agency monthly based on your subscription tier. Your subscription details — plan name, active caregiver count, renewal date, and payment method — are visible under Settings → Subscription.

To upgrade, downgrade, or cancel your subscription, contact Visiting Systems support at support@visitingsystems.com.

13. Authentication & Login Troubleshooting

Caregiver cannot log in

The most common causes are a mistyped email address, incorrect password, or a deactivated account. Ask the caregiver to double-check their email and try the Reset Password link on the login page. If the account has been deactivated, re-enable it from the Caregivers section.

New caregiver has not received login instructions

Credentials are not emailed automatically. When you create a caregiver account you set a temporary password directly — share that password with the caregiver along with the URL visitingsystems.com. Ask them to update their password after their first login.

"Invalid credentials" error

This message appears when the email or password does not match any account. Check that the caregiver is using the exact email address entered when their account was created. Passwords are case-sensitive. Use Reset Password on the login page to issue a fresh password if needed.

Account locked after failed attempts

After repeated failed login attempts the account is temporarily locked as a security measure. Wait a few minutes and try again, or use Reset Password to immediately regain access.

Admin login issues

Admin account resets cannot be performed self-service. Contact support@visitingsystems.com with your agency name and the email address on the account.

Tip: The Audit Log is often the fastest way to understand what happened in your account if something looks unexpected.
